Privacy policy

AI Business Flow LLC (“AI Business Flow,” “we,” “us”) builds data products, AI assistants, software tools and automation services for businesses. This policy explains what information we collect, how we use and share it, and the choices you have. It applies to AIBusinessFlow.net and to every product and service we offer now or in the future, unless a separate written agreement with you says otherwise.

Who this policy covers

  • Visitors to our website.
  • Customers — businesses and professionals who buy a product, sign up for a service, or contact us.
  • People whose information is processed on a customer’s behalf — for example, callers to an AI assistant we operate for a customer (“End Users”). For that information we act as a service provider to our customer under California law, and the customer’s own privacy practices govern it.

Information we collect

Information you give us. Name, business name, email, phone number, license number, mailing address, the details of what you order (for example a trade, cities or property types), and anything you write to us.

Payment information. Payments are processed by our payment processor. We receive confirmation of the payment and limited details such as the amount and the last four digits of a card — we never see or store full card or bank account numbers.

Communication preferences. Whether you agreed to receive text messages or marketing email, and any opt-out or unsubscribe you send us.

Website data. Our servers and hosting provider log standard technical information (IP address, browser type, pages requested, referring page). We do not use advertising cookies or third-party analytics. Some pages keep what you type (for example calculator inputs, or which campaign link brought you to the site) in your browser’s session storage so it isn’t lost if you refresh; it stays in your browser and is cleared when you close the tab.

Public records. Some of our products are built from public government records, such as building permits and property land-use records. These records describe properties and the work done on them (for example an address, a permit date and a description of the work). We do not add names, phone numbers or email addresses of homeowners to these products.

Information processed for customers. When we operate an AI assistant or automation for a customer, we process the information End Users share with it — such as name, phone number, email, the reason for the contact, call recordings and transcripts, text messages and appointment details — only to provide that service to the customer.

How we use information

  • To provide, deliver and support the products and services you ask for, including order confirmations and delivery.
  • To process payments, refunds and billing records.
  • To respond to your questions and requests.
  • To send you updates about your order or account and, where you agreed, marketing messages (you can opt out at any time).
  • To keep our services secure, prevent fraud and abuse, and fix problems.
  • To improve our products, using information about how they are used.
  • To comply with the law and enforce our terms.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use End User information processed for a customer for our own marketing, share it between customers, or use it to train AI models without permission.

How we share information

We share information only with:

  • Service providers that help us run our business and deliver our services, bound to use the information only for that purpose. The categories are: payment processing; cloud hosting, databases and storage; email and text-message delivery; voice, telephony and AI platforms; scheduling, CRM and workflow tools; and office productivity software. Providers may change within these categories without a change to this policy.
  • The customer on whose behalf End User information was collected.
  • Authorities or others when the law requires it, or when needed to protect the rights, safety or property of AI Business Flow, our customers or others.
  • A successor in a merger, acquisition or sale of assets, subject to this policy.

Text messages (SMS)

If you check the box agreeing to receive texts, we may text you about your order and account and, where you agreed, send promotional offers. Consent is never a condition of purchase. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Mobile numbers and text-message consent are never sold or shared with third parties or affiliates for their marketing purposes.

Texts sent by an AI assistant we operate for a customer are sent on that customer’s behalf, only to people who gave the required consent, and honor STOP requests.

Email

Order and account emails are part of the service you requested. Marketing emails always include a working unsubscribe link and our business address; unsubscribe requests are honored promptly and permanently.

Calls handled by AI assistants

Where we operate an AI voice assistant for a customer, the assistant identifies itself as AI and every call begins with notice that it is recorded, as California law requires. Recordings and transcripts are kept for the customer as described below.

Your California privacy rights

California residents may ask to know what personal information we have collected about them and how it is used and shared, to correct it, and to delete it (subject to legal exceptions), and will not be treated differently for making a request. Because we do not sell or share personal information for advertising, there is nothing to opt out of.

To make a request, email [email protected] with the subject “Privacy Request.” We will confirm receipt within 10 business days and respond within 45 days. We may need to verify your identity first. An authorized agent may make a request for you with your written permission. If your information was processed for one of our customers, we will pass your request to that customer.

Data retention

We keep information only as long as needed for the purposes above or as the law requires:

  • Order, billing and tax records: 7 years.
  • Customer contact and account information: while you are a customer and up to 3 years after your last activity.
  • Unsubscribe and text opt-out records: kept indefinitely, so we keep honoring them.
  • Information processed for a customer (including call recordings and transcripts): as the customer’s agreement specifies, and returned or deleted within 30 days after the agreement ends unless the law requires otherwise.

Security

We use encryption in transit, access controls, and reputable infrastructure and payment providers. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.

Children

Our products and services are for businesses and are not directed to children under 16. We do not knowingly collect information from children.

Changes to this policy

We may update this policy as our products change. The date at the top shows the latest version; if a change materially affects how we use information we already have, we will tell affected customers before it takes effect.
